Make location and scope clear to the next reader.
A report may be read by a manager who did not accompany the contractor. References to the wing, floor, room or system should make the affected location understandable without relying on a private conversation from the visit.
Check that the record describes the intended work. A document for one discipline or part of the premises should not be treated as confirmation of every other maintenance or safety matter.
Keep assessment and system-work documents distinct.
A fire risk assessment and a fire alarm verification certificate record different work. These examples help you inspect the output; they are not an assessment of any real care home.
Separate findings from completed follow-up work.
A finding can identify an issue that needs attention. It does not demonstrate that remedial work has happened. Keep the issued report, the explanation from the professional and any later completion evidence distinguishable.

A trade-document demonstration does not need residents’ care information. Use anonymised site and equipment examples, and remove unrelated personal details before sharing screenshots for a software enquiry.
For in-house adoption, review the data and security questions and the relevant product privacy information. Agree who will create, review, receive and retain the records.
