Plan your move without losing sight of your existing records.
Before switching, separate the records you need to keep from the active customer and site details you want to use next. Confirm the supported import process before committing to a bulk move.
Make an inventory of what you have.
- Issued certificates and reports in their original PDF form.
- Customer and site lists, with the fields you need for future work.
- Appliance, equipment or system records linked to the right site.
- Attachments and evidence that need to remain associated with a record.
- Outstanding work and follow-up dates you still need to manage.
Export what your current system permits and keep an unchanged copy. Confirm how you can access your existing records before ending any current subscription.
Confirm the mapping before moving a large file.
Tell the CertifyApps team which app you want to use, which system you are moving from, the export format and an approximate record count. A list of column headings and the relationships between customers, sites and equipment is a useful starting point.
Do not assume every old field, attachment or document can be imported. The supported process depends on the app and source format. If an example file is needed, agree how it should be provided and use non-sensitive sample data for the initial discussion.
Validate a small batch first.
Check representative customer names, site addresses, equipment identifiers and links between records. Review the resulting documents and confirm that you can find the information again. Resolve mapping problems before expanding the move.
Keep historical issued documents as historical records. A new visit needs its own current findings, date and sign-off; importing an archive should not turn old results into evidence of new work.
