Know how your business information will be handled.
Certificates and reports can contain customer details, site information and signatures. Before a wider rollout, review the applicable privacy information and confirm the arrangements for the app your business intends to use.
Start with the policy for the service you use.
The CertifyApps privacy policy explains website enquiries, account administration and service information. Product-specific notices provide more detail where they apply. Review the notice linked by your selected app rather than assuming every product has identical providers or data flows.
The policy describes the respective roles of Sysress Limited and the organisation entering business records. For procurement or a data-processing query, identify the app, intended users and information you expect to store.
Ask specific questions before moving an archive.
- Which account and user-access arrangements apply to your team?
- What exports are available for the records you need to retain?
- Which hosting, retention and recovery arrangements apply to that product?
- What happens to records when a user leaves or an account is closed?
- Which product terms and data-processing information are relevant to your organisation?
Email the team for product-specific information. A general website statement should not be treated as a contractual recovery time, hosting-location guarantee or independent security certification.
Keep access and support requests proportionate.
Use authorised accounts, protect sign-in details and review access when responsibilities change. Send only the information needed for a support question; anonymise examples where possible.
If you suspect unauthorised access, contact [email protected] with the app name and a concise description. Do not email passwords, authentication codes or an entire customer archive.
Plan exports and account closure separately.
Keep suitable independent copies of important issued records and confirm export options before a migration or account closure. Refer to the service terms, migration guide and the deletion route provided by your app.
