Build an appliance register you can use on the next visit.
A useful appliance register identifies equipment consistently and keeps the history understandable. Good descriptions save time when you return, without treating old results as evidence of a new test.
Separate identity from visit results.
The asset identifier, description and customer or site association explain which appliance you are dealing with. The inspection or test date, findings and results explain what happened on a particular visit. Keep those purposes distinct.
A room name can change and an appliance can move. Use enough description to distinguish similar equipment and update the current location without losing sight of the item’s history.
Use a consistent naming convention.
- A stable asset identifier that matches the equipment label where used.
- A clear description, with make or model where it helps identify the item.
- The customer and site, plus a useful location reference.
- Current-visit information recorded against the correct appliance.
- A clear record of equipment that was replaced, removed or not included in the work.
These are practical organisation checks, not a mandatory form specification. Match the records to the work and the customer’s maintenance arrangements.
Check duplicates before importing or repeating work.
Two records with the same identifier can create confusion; two similar descriptions do not necessarily describe the same appliance. Review the source list and agree how to handle missing or duplicated identifiers before moving data.
Keep your original archive available. A PDF export is not necessarily a structured appliance list that can be imported into another system. See the migration guide before planning a bulk move.
Judge the customer output as well as the register.

Before you choose
Can I reuse appliance descriptions on a later visit?
Stable identity information can support repeat work, but check it is still correct. Current inspection results, dates and sign-off must reflect the work on that visit.
Should a replacement appliance inherit the old results?
No. Keep the identity and history of the replacement distinguishable from the item it replaced.
